Personal Injury Intake Specialist
Aspen Careers, LLC
Dublin, OH

Job Description

Job Description

Join a Growing, Client-Focused Firm – Personal Injury Intake Specialist Opportunity in Springfield or Dublin Ohio!

Aspen Careers is partnering with an established and expanding personal injury law firm to identify an experienced Personal Injury Intake Specialist. This is a unique opportunity for someone who combines legal knowledge with exceptional communication, relationship-building, and client service skills.

As the first point of contact for prospective clients, you'll play an important role in both the client experience and the continued growth of the firm. You'll speak with individuals who are often navigating stressful or difficult circumstances, gather and evaluate key information, identify promising cases, coordinate attorney involvement when needed, and help qualified clients take the next step toward representation.

This is not a traditional paralegal position. It is an opportunity for someone who genuinely enjoys intake, client interaction, case screening, and relationship development and wants to take ownership of this function as the firm continues to grow.

Job Title: Personal Injury Intake Specialist
Location: Springfield, OH | In-office preferred
Dublin, OH may be considered for the right candidate

Why You Should Apply:

  • Take ownership of a critical, client-facing role and serve as the firm's first impression for prospective clients
  • Manage incoming leads from phone calls, website inquiries, emails, texts, and other sources
  • Conduct detailed intake conversations to gather the information needed to evaluate potential cases
  • Help identify qualified personal injury matters and coordinate attorney review when appropriate
  • Work toward a “one-call close” by sending electronic engagement agreements to qualified prospective clients during the initial conversation
  • Proactively follow up with potential clients and ensure promising leads do not fall through the cracks
  • Build relationships with prospective clients through empathy, responsiveness, and exceptional service — even when the firm ultimately cannot handle their matter
  • Assist callers with referrals to trusted attorneys and firms when their legal needs fall outside the firm's practice areas
  • Grow into a highly autonomous role with the opportunity to help strengthen the firm's intake processes and referral relationships
  • Join a growing firm that views intake as an important client relationship and business development function, not simply an administrative role

The Ideal Candidate:

  • Previous experience working in a personal injury law firm strongly preferred
  • Prior legal intake, client intake, case screening, client service, or similar experience preferred
  • Candidates with transferable intake experience from other legal practice areas may also be considered
  • Familiarity with the personal injury client experience, including communicating with individuals dealing with injury, loss, uncertainty, and stressful circumstances
  • Confident, outgoing, and comfortable guiding conversations with prospective clients
  • Excellent listener who knows how to ask thoughtful follow-up questions and identify important details
  • Strong sense of urgency and willingness to proactively follow up with prospective clients
  • Self-sufficient, driven, organized, and comfortable taking ownership of responsibilities
  • Able to think quickly, use sound judgment, and recognize when a potential matter needs immediate attorney involvement
  • Patient and empathetic while also comfortable communicating difficult news professionally
  • Comfortable with the client-development and conversion aspect of the position
  • Able to maintain professionalism with every caller regardless of whether the firm can ultimately assist them
  • Technologically comfortable; experience with LeadDocket or Filevine is a plus
  • Looking to build expertise and grow within intake and client development, rather than using the role as a transition into paralegal work

What You'll Do:

  • Respond promptly to prospective clients and new leads
  • Conduct client intake interviews and accurately document information in LeadDocket
  • Gather details necessary to identify the legal issue and evaluate potential personal injury claims
  • Recognize high-priority matters and quickly connect appropriate cases with an attorney
  • Facilitate electronic fee agreements and help qualified prospective clients complete the sign-up process
  • Maintain consistent follow-up with prospective clients who have not yet been reached or signed
  • Track all communication and activity accurately within the firm's intake system
  • Monitor pending and under-review matters and coordinate follow-up with attorneys
  • Help facilitate referrals for legal matters the firm does not handle
  • Follow up with referral partners to ensure prospective clients receive appropriate assistance
  • Provide a professional, compassionate, and responsive experience from the very first interaction
  • As you grow in the role, help develop relationships with referral partners and intake professionals at other law firms

About the Firm:

  • Established personal injury practice with multiple Ohio offices and continued growth
  • Attorneys are supported by an experienced legal team
  • Growing intake function designed to provide prospective clients with responsive, high-quality service
  • Known for a close-knit, low-turnover, and team-oriented culture
  • Committed to helping callers find the right resources even when the firm cannot personally handle their legal matter
  • Focused on client service, efficiency, relationship-building, and long-term growth

What's in it for You?

  • Competitive hourly compensation based on experience, who can independently take ownership of the role
  • 401(k) with firm match
  • Health insurance
  • Generous PTO
  • Paid holiday time, including the firm's year-end office closure
  • Holiday and year-end bonus opportunities
  • Potential for future performance-based incentive opportunities
  • Full-time, 40-hour work week
  • Long-term opportunity to grow with an expanding intake department

Job Description

Job Description

BACKGROUND:

NCS has been providing product-based IT service solutions to Federal, military, and commercial customers since our inception in 1996. These solutions center on a wide range of hardware from end user devices, to rugged mobile computers for field operations, and networking, compute, and storage equipment for integration into military platforms. Over the years, we have built up a substantial engineering, integration, manufacturing, quality, and logistics infrastructure. At the same time, we also developed and refined robust business practices to compete effectively in the markets on which we focus; e.g., Federal civilian agencies, all three branches of the military, the Federal System Integrator community serving them, and private enterprises.

We operate from a state of the art 108,000 square foot facility in Innovation Park @ Prince William, Manassas, Virginia. This facility magnifies the strengths that we have gathered over the years to position us well for future growth and diversification which have been defined in our Go To Market strategy. This strategy centers on computing and networking hardware formulated into a number of solutions with engineering services targeted at different addressable markets and guides our business development trajectory for the next several years.

We are now seeking a strong, capable and enthusiastic individual to fill the position of Computer Integration Specialist (CIS). The selected individual will participate in an active role in the strengthening of our existing business while growing and diversifying it.

U.S. Citizenship or permanent residency required.

POSITION DESCRIPTION:

The CIS will be a member of the Engineering team that develops our compute and storage server products. The individual appointed to this position must possess a high level of Linux knowledge and be able to tailor software loads in a timely fashion. In addition, the person must also be flexible and agile to be able to respond to wide ranging customer testing requirements that may include not only technical but also schedule challenges.

DUTIES/RESPONSIBILITIES:

  • Develop Linux test scripts running diagnostic utilities to stress test hardware, maintain, and adapt them as system configurations multiply and change over time and ensure output of scripts and applications are captured in the required formats for the purpose of review and report compilation
  • Gain knowledge of the body of environmental military standards (MIL-STD) that are relevant to NCS' work and the company's testing equipment and use such knowledge to perform Environmental Qualification Test (EQT)
  • Compile EQT test reports using automated tools, templates and scripts to create graphs from the test logs and data
    • Investigate the feasibility of using AI to automate test reports and implement such a tool upon approval
  • Build, integrated, and test prototypes, demo samples, First Articles, etc. that involve both hardware and software
  • Test, benchmark, evaluate, and review hardware and software as needed and determination on their adoptions for NCS solutions
  • Must be knowledgeable of disk imaging technologies to take a storage media's software load (operating system and applications) and be able capture, store and deploy this software load for later use.

QUALIFICATIONS:

To carry out the duties and responsibilities of this position, the individual must possess the following qualifications and personality attributes:

  • Minimum of three (3) years preferred experience in developing Linux test script. Strong preference for experience with hardware stress test applications and scripts (will consider experiences from work or pursuit of personal interests in computer, networking technologies, and programming)
